PMS for small and medium-sized hotels

Run hotel operations together.
Leave duplicate work behind.

Vertio connects the booking calendar, front desk, direct booking, channels, housekeeping, payments and workforce. Choose the modules your hotel needs and keep one operational view.

From reservation to departure

One PMS for the hotel’s working day.

Vertio removes repetitive handovers between the systems and teams that deliver the stay.

Booking and distribution

Calendar, availability, rates, direct booking and channel management share one booking flow.

Front desk and guests

Arrival, payments, messages, guest portal and departure stay connected to the reservation.

Housekeeping and service

Room status, assigned tasks, SOP checklists, photos and offline work support daily operations.

Workforce and management

Rosters, time tracking, notifications, reporting and role-based access provide one operating picture.

Conferences and groups

Offers, programmes, rooms, BEOs, accommodation blocks, rooming lists and controlled finance share the platform.

Integration and migration

Validated data imports, distribution and essential hotel services are connected through a defined transition plan.

Housekeeping in the hotel PMS

How do housekeeping and front desk share room status?

Vertio connects the cleaning task to the room, so staff can update the work from a phone or tablet while the front desk follows whether the room is awaiting cleaning, in progress or ready.

Both teams work from the same operational view without separate lists, messages or later re-entry.

  1. 01

    The task follows the room

Cleaning can be planned, assigned or claimed with the room and scheduled time attached.

  2. 02

    Work is documented

The employee uses statuses, checklists, notes and photos in a role-specific work view.

  3. 03

    Front desk sees readiness

The update enters the shared overview. Offline work is stored and synchronised when connectivity returns.

Three different jobs

PMS, booking engine and channel manager: what is the difference?

A PMS runs the hotel’s internal workflows, a booking engine accepts direct bookings, and a channel manager connects the hotel to external booking channels. When they share the same reservation record, staff do not have to maintain the same information in several places.

PMS

Connects reservations, guests, front desk, room status, payments and reporting in daily hotel operations.

Primarily used by hotel staff

Booking engine

Lets guests view availability, choose a stay and book directly on the hotel’s own website.

Used for the hotel’s direct sales

Channel manager

Exchanges rates, availability and reservations with the external booking channels the hotel chooses to connect.

Used for external distribution

Vertio is modular: the hotel can choose the relevant areas and connect them to the calendar and wider operation. Specific channels and connections are agreed during implementation.

Hotel PMS pricing

What determines the price of Vertio?

Vertio does not publish one standard price because hotels differ in size, workflows, modules and connections. After a practical review, the hotel receives a proposal covering the solution, transition, price and next steps.

  • ScopeProperty size and the workflows that need to be connected.
  • ModulesFor example calendar, direct booking, channel manager, housekeeping or conferences.
  • ConnectionsThe existing channels and services that must integrate with operations.
  • TransitionData migration, validation, configuration and staff guidance requirements.

Hotel PMS integrations

Which systems should connect to the hotel PMS?

A hotel PMS should connect to the services that receive or change reservation, payment and operational data. These may include booking channels, payments and finance. Vertio starts with the hotel’s existing workflows and defines the required connections before implementation.

  1. 01

    Map systems and data

Identify what information enters each system, where it is maintained and which system should be the responsible source.

  2. 02

    Define the workflow

Agree what should happen when a booking, change, payment or departure occurs, and who handles exceptions.

  3. 03

    Test the connection

Validate the data and essential events in a bounded flow before the connection becomes part of daily operations.

Switching hotel PMS

How do you switch PMS without losing operational control?

A safe PMS migration starts with data and workflows, not a launch date. Vertio uses a controlled process in which the import is validated and dry-run before data is saved. The essential booking, front-desk and operational workflows are then checked before cutover.

  1. 01

    Map data and workflows

Agree which reservations, guests, units, rates and connections need to move, and who uses them in daily operations.

  2. 02

    Test the import without saving

Vertio validates the import in a dry run so errors and omissions can be corrected before data is written to the new PMS.

  3. 03

    Complete a controlled cutover

Agree timing, responsibilities, training and checks of the essential workflows before the hotel moves to the new solution.

Guest data and GDPR in the hotel PMS

How does the hotel manage access, traceability and anonymisation?

Vertio helps the hotel restrict access by staff role, trace sensitive actions in an audit log and anonymise guest profiles according to the hotel’s documented retention rules.

The hotel remains responsible for its legal basis, access policy and retention periods. Roles and workflows are therefore agreed as part of the implementation.

  1. 01

    Role-based access

Front desk, housekeeping, management and other roles receive the functions and information their work requires.

  2. 02

    Audit log

Sensitive actions are recorded so the hotel can trace who did what and when.

  3. 03

    GDPR anonymisation

Personal details in a guest profile can be anonymised while essential non-identifying operational and financial history is retained.

Choosing a PMS for a small or medium-sized hotel

Assess the workflow, not just the feature list.

The right PMS should reduce handovers between front desk, booking channels, housekeeping and finance. For a small or medium-sized hotel, the platform should connect these workflows without requiring more separate systems as operations develop.

Explore every Vertio capability
  • Connected workCan a reservation move from sales channel to departure without re-entering information?
  • ModularityCan the hotel choose what it needs now and extend the platform as operations develop?
  • TransitionDoes the plan cover data migration, validation, training and the cutover from existing systems?
  • Implementation accessCan the people responsible for implementation understand and adapt the hotel’s actual workflows?

Hotel PMS requirements checklist

Seven questions before you choose.

A requirements checklist should describe the whole workflow and transition, not just tick off features. Use these questions to compare proposals on the same basis and uncover unclear dependencies before implementation.

  1. 01

    Booking flow

Can a reservation be created, changed, paid and completed without re-entering information between front-desk tools?

  2. 02

    Distribution

Do direct booking and external channels share the same availability, rates and reservation record?

  3. 03

    Daily operations

Can front desk and housekeeping view arrivals, departures, room status and tasks from the same information?

  4. 04

    Finance

Do payments, guest folios, daily closing and bookkeeping records follow the individual reservation?

  5. 05

    Integrations

Are essential connections, data responsibilities and workflows defined before the agreement is signed?

  6. 06

    Transition

Does the plan cover data migration, validation, dry runs, training, responsibilities and pre-cutover checks?

  7. 07

    Future needs

Can the hotel select relevant modules now and expand without moving information into new silos?

Implementation on site or remotely

We go where the implementation works best.

Vertio is based on Funen, but the hotel’s location does not limit the collaboration. We travel to the hotel when an on-site presence adds the most value and work remotely when that is the simplest and most effective option.

A complete implementation engagement can include a full week at the hotel with an introductory staff meeting, training based on Vertio’s education plans, and complete setup of equipment and systems. We coordinate closely with the hotel and review the agreed workflows together, verifying that everything works before the engagement concludes.

Answers before the first call

Hotel PMS questions

What is a hotel PMS?

A hotel property management system brings reservations, availability, guest data, room status, payments and front-desk operations together. Vertio also connects housekeeping, direct booking, distribution, workforce and conferences so information is not maintained in several systems.

Which hotels is Vertio designed for?

Vertio is designed for small and medium-sized hotels that want to connect workflows across front desk, booking, housekeeping, payments, workforce and other operational areas. Its modular structure lets the hotel select the relevant areas and extend the solution as its needs develop.

What does a modular hotel PMS mean?

A modular hotel PMS lets the hotel select the capability areas that need to work together instead of adopting a fixed standard package. With Vertio, the hotel can start with the relevant booking and operations modules, connect essential external services and extend later without creating new data silos.

How much does a hotel PMS cost?

Hotel PMS pricing typically depends on property size, selected modules, integrations, data migration and implementation. Vertio is therefore priced after a review of the hotel’s workflows and required connections. The proposal sets out the solution, transition, price and next steps rather than charging for a standard package that does not fit the operation.

What should a hotel look for when choosing a PMS?

Choose based on the workflows that need to connect: reservations, direct booking, channels, front desk, housekeeping, payments and reporting. Also review data migration, essential integrations, mobile access and who will support implementation. Vertio reviews these areas with the hotel and configures the relevant modules.

What is the difference between a PMS and a channel manager?

A PMS manages the hotel operation around reservations, guests, front desk, room status and finance. A channel manager is the part that exchanges availability, rates and reservations with external booking channels. Vertio connects channel management to the PMS so channel bookings enter the same calendar and workflows as direct bookings.

What is the difference between a PMS, a booking engine and a channel manager?

A PMS manages internal hotel operations. A booking engine lets guests book directly on the hotel website, while a channel manager exchanges rates, availability and reservations with external booking channels. Vertio can connect all three as modules around the same reservation record.

Does Vertio include a channel manager and online booking?

Yes. Vertio supports direct online booking and channel management so availability and reservations stay connected to the rest of hotel operations.

Can employees work from phones and tablets?

Yes. Employees use role-specific views on phones and tablets. Service work supports checklists, notes, photos and offline operation with later synchronisation.

How does Vertio connect housekeeping with the front desk?

At departure, a cleaning task can follow the room, be assigned to a staff member and be updated from a phone or tablet. The employee can use statuses, checklists, notes and photos, while the front desk sees whether the room is awaiting cleaning, in progress or ready. Offline changes synchronise when the connection returns.

How does migration to Vertio work?

We review the hotel’s workflows and systems, agree the modules and integrations, and plan data migration and cutover. Imports are validated and dry-run before data is committed.

How does Vertio help the hotel manage GDPR and access to guest data?

Vertio uses role-based access so employees only receive the functions and data their work requires. Sensitive actions are recorded in an audit log, and guest profiles can be anonymised according to the hotel’s documented legal basis and retention rules without removing essential non-identifying operational and financial history.

Which systems can a hotel PMS integrate with?

That depends on the hotel operation. Before implementation, Vertio maps the connections the hotel needs, such as booking channels, payments and finance. Each connection is defined in terms of data, responsibility and workflow so the hotel receives a practical integration plan rather than a vague standard list.

Where does Vertio provide hotel PMS implementation?

Vertio is based on Funen, but the hotel’s location does not limit the collaboration. Implementation can take place on site wherever that makes sense, or remotely when that is the best option. A complete engagement can include a full week at the hotel with a staff introduction, training based on Vertio’s education plans, complete equipment and system setup, and joint verification that everything works before the engagement concludes.
